    Re: Booking Rooms For Guests

this is great information. i've been worrying about how to accommodate everyone's schedules since some of my guests can only stay the weekend and others want to make it a full vacation! how far in advance to guests usually have to decide the exact travel dates? this would be for a february 2015 wedding.

josieryan- with a group contract there is flexibility up to final payment date although if it's a popular resort they also run the risk of the rooms not being available on the dates they want. with my groups i do a core 3 nights- those dates are guaranteed and then we ask for 3 nights pre and 3 nights post!

for a feb 2015 destination wedding without a group contract i'd recommend the guests to be committed to their dates by septemeber to guarantee availability- after that ( and the crazy winter we had last year!) it might get a bit dicey and much more expensive!

We have a block of rooms. All the information was sent out to our guests and they just contact our TA to book their room. So much easier and less stressful for us!

Us, too, ombregirl. Actually, our TA did a website and put all the information on it. Guests can book from there, or call or email her with questions. It has been so easy. I was really worried about this part of planning, but it has been a piece of cake.

We have found that this is the best way to have guests book. By putting all of the travel details on a custom website, guests can take their time reading through everything, looking at room options, comparing prices, etc. If they have questions, they can reach out to us. When they are ready to book, they can do it right on the website. The booking request comes to us so we can check it over, then manually book it. We are involved in every booking this way and can make sure guests are taken care of. We also can share the list of bookings with the bride so she always knows who has booked. We make it as painless as possible!
